Cyprian Keyes Golf Club: More Green With Sage BusinessWorks
Cyprian Keyes Golf Club in Boylston, Massachusetts has an impressive historic heritage. America was still a British colony in 1734 when Cyprian Keyes built a home here. Almost two centuries later, a local industrialist bought a mansion in England and had it reassembled on the property.
The gracious golf club facility includes original flooring from the Keyes' home and major portions of the mansion, with cascading stairways, floor-to-ceiling windows and a 19th century music room. Each hole on the course enhances the beauty of the surrounding woodlands. Although open to the public, the club prides itself on private country-club ambiance and service at both the course and its year-round restaurant and shop.
Sophisticated Links to POS
Cyprian Keyes uses a point-of-sale (POS) system developed specifically for the golf industry, managing everything from pro shop to restaurant and bar sales. But it lacked accounting capabilities. When the club adopted a new POS, it went shopping for a powerful but easy-to-use accounting system that would interface seamlessly.
"We researched four options, and found Sage BusinessWorks Accounting to be an ideal match,” says Shelley Rappaport, controller for the club. “Our reseller helped us integrate the two systems, so data now flows directly from the POS to the general ledger without a hitch. Not only is it simple to use, but it works perfectly."
Cutting Time and Costs
The club noticed immediate benefits from automated data transfer. "Before, we had to hire someone to come in approximately 20 hours a week to move information between the POS and financial system," Rappaport says. "Now all revenues recorded from the golf shop and restaurant transfer over to the general ledger with one simple step."
The new system has enabled Cyprian Keyes to eliminate payroll outsourcing. "Sage BusinessWorks made me comfortable enough to finally move our payroll processes in-house," Rappaport comments. "Not only has this saved money paid to an outside vendor, but it also gives us more control over the payment process. We can decide exactly when we want to issue checks, a valuable feature especially around holiday times, and prepare payroll reports the way we want."

Reconciling bank statements is streamlined and faster with Sage BusinessWorks. "Our deposits are entered into the Cash Management module," says Rappaport. "All of our bank statements are reconciled through the module, saving us at least eight hours every month."
Using the F9 module, Rappaport exports data from the general ledger to an Excel file. This lets her create highly customized financial statements.
Easy to Learn, Easy to Use
Rappaport likes the way that all Sage BusinessWorks modules function in the same way. "If you know how to use the Accounts Payable module, for example, you can pick up the Payroll module very quickly," she comments. "This makes us all more productive when learning new tasks."
Much of the credit for smooth implementation goes to Cyprian Keyes' reseller, according to Rappaport. They configured the interface between Sage BusinessWorks and the POS system and helped set up accounts by department to match the way the club does business.
"I'd definitely recommend Sage BusinessWorks to anyone needing simple but powerful business software," Rappaport says. "It's saved us a phenomenal amount of time. Everybody here is happier now, because our work processes are so much easier."
